Before working with package credits, ensure that you have defined packages in the system and that the respective client(s) has purchased the package.

This article begins by describing the management of package credits purchased by your pet owner(s) and familiarizes you with the automation that works behind the scenes at the time of booking to apply credits where applicable.

Manage Purchased Package Credits

Login as the manager and go to Services > Packages. The main window lists all the currently purchased packages by clients:

  1. Name of the purchased package.

  2. Client who purchased the package.

  3. Packages can be configured per pet or cover all the pets owned by the respective client. If you see a pet's name listed in this column, then the package was defined and has been applied to a specific pet.

  4. The number of credits remaining in this package.

  5. You can manually book one of the credits for the client in the row selected by the corresponding pull-down.

  6. View all the defined packages and create new ones by clicking "Packages" button. 

  7. Click "View credits" to further manage credits for each purchased package. See the resulting screen below:

  1. The total credits originally applied by purchasing this package.

  2. The remaining credits that have not been applied to an appointment yet.

  3. The manager can choose to increase (+) or decrease (-) available credits.

  4. The system can look for appointments that have an outstanding balance and try to apply the 3 credits.

  5. See history of which appointments got a credit applied as illustrated below:

  1. Each row refers to an appointment. This is a link that, when clicked, will take you to the appointment to which the credit was applied.

  2. The number of credits that have been applied to the appointment.

  3. If you find entries that have empty credits, then these are referring to scheduled versus actual appointments where credits were already applied.

Automatically Apply Credit To Appointments

Our feature automatically applies package credits to appointments during booking, streamlining the process for both clients and managers.

When a pet owner, staff member or manager is booking, and if the credit conditions are applicable, then the system will apply the credit as illustrated below.

Note: Credits may apply to some pets but not others, depending on your packages and how they were invoiced. Remember that packages can be specific to a pet. The system accounts for various scenarios, such as a pet owner with multiple pets where only a subset receives a package credit.
